If you're spending half your week chasing approvals through email chains, you're not alone. Policies, budgets, contracts, they all bottleneck the same way: unclear ownership, multiple versions floating about and no clear record of who actually signed off.

SharePoint approval workflows solve this. They replace the chaos with a structured process that sits right where your documents live, eliminating the need for endless back-and-forth messages and keeping everyone clear on what's approved, pending or needs action.

Why it matters

A well-designed workflow gives you four things: clarity on status, consistency across every document, speed because approvers can act in Teams or SharePoint without switching tools and accountability through an audit trail. When approvals are frictionless, your team stops wasting time chasing people and starts focusing on actual work.

Your options

SharePoint offers flexibility. The built-in approval feature works well for straightforward document sign-off—someone submits, approvers respond, status updates automatically. For more formal processes (policies, compliance documents), you can configure structured workflows with sequential or parallel approvals. If your needs are complex—routing based on metadata, automatic reminders, escalations—Power Automate gives you the control.

The key is matching the approach to your process, not overengineering it.

What actually makes it work

Clean metadata, sensible version control, careful permissions and regular reviews. Automation handles the repetitive bits: reminders, routing, escalations. Approvers work where they already are. Everything connects through your intranet so people know exactly where to go.

The goal isn't fancy, it's reliable. An approval workflow you can trust removes friction and creates clarity. 😊

Let me know, what's your biggest friction point with approvals right now? Are you managing multiple tools or just fighting email overload?

When spreadsheets stop working, here's what most teams miss about SharePoint task management

Somewhere around the twentieth row of a shared spreadsheet, most teams realise they've outgrown it. Priorities are start to become unclear. Updates are no longer consistent. And no one's really quite sure who owns what anymore. Eeek! 🙈

The instinct then is usually to bolt on another tool. But if your organisation already uses SharePoint, you probably have everything you need right in front of you.

SharePoint task management works because it does one thing well: it keeps tasks alongside the context that matters. Your project documents live there. Your conversations live there. Your task list lives there. No switching between platforms to understand what's actually happening.

The real difference is visibility

When you create a task list in SharePoint, you get flexibility that spreadsheets don't offer. You can filter tasks by owner to see your personal workload in one view. You can switch to a timeline view to spot dependencies. You can set automated reminders so things don't slip quietly past their deadlines.

But here's the thing that changes how teams actually work: because everyone's looking at the same source, there's no guesswork about priority or progress. A project manager opens the site and sees exactly what's on track and what needs attention. A team member sees just their own tasks without the noise of everything else. Alignment happens naturally, not through endless status update emails.

Keep it simple first

The mistake most teams make is over-engineering it. Start with what your team actually needs: owner, due date, priority, status. Add subtasks if a piece of work genuinely needs breaking down. That's usually enough to create real clarity.

The teams getting the most value from this approach? They're the ones who treat their task list as a reflection of how they already work, not a constraint they have to fit themselves into.

SharePoint Search: how to help employees find what they need

If your employees treat your SharePoint intranet as a last resort rather than a first port of call, there's a good chance search is the culprit. It's not usually a technology problem...it's a configuration and content one. 😅

SharePoint search is genuinely capable. It can find documents, pages, news and people across your entire organisation. But like any sophisticated tool, it works best when you understand what it needs from you.

The fundamentals matter

Start with the basics. Most people never venture beyond a simple keyword search, but SharePoint supports advanced operators that make a real difference. Quotation marks find exact phrases. The minus sign excludes terms. You can filter by file type, date or author. A quick guide to these techniques—shared during onboarding or via your intranet—pays dividends in how effectively your teams can search.

But here's the thing: advanced search only helps if your content is organised properly in the first place.

Content is the foundation

If search isn't returning what you expect, look at your content, not the tool. Descriptive file names matter. "Document1.docx" tells search nothing; "2026-Q1-Marketing-Budget.xlsx" is immediately findable. Metadata does the work too. When you tag documents consistently with clear categories, you're creating multiple pathways to the same content. Search can find that budget spreadsheet whether someone searches by file name, department or time period.

Keep your content current as well. When employees find outdated information in search results, they stop trusting search. They start creating workarounds. Outdated documents should be archived, not buried in your site.

Configuration and training

Administrators can configure promoted results for common searches, set up acronyms and bookmarks, and define which properties get indexed. It requires some effort, but for frequently sought content (like your expense policy, benefits guide, org chart, etc.) it's worth the investment.

The real unlock comes from training. Most search frustration stems from not knowing what's possible. When your teams understand what SharePoint search can do, they actually use it.

That's when your intranet transforms from somewhere content sits, to somewhere it gets found! 🤓

SharePoint's flexibility is a blessing and a curse. It gives you everything you need to build a working intranet, but it also means the experience your team gets depends entirely on how you set it up. And most organisations discover this the hard way... after months of messy folder structures, version chaos and nobody knowing where to publish content.

The good news? A few intentional decisions made upfront solve most of these problems for good.

Keep it simple, really simple. Deep folder structures feel safe at first, but they slow people down. Three levels maximum. Beyond that, use metadata (tagging documents with labels like "2025," "Marketing" and "Policy") and let people sort as needed. One location, infinite organisation.

Clarify permissions from day one. SharePoint's permission system is powerful, but it becomes a nightmare when you customise it ad hoc. Stick to the default security groups (visitor, member and owner), use groups instead of individual permissions and document the approach. It takes 20 minutes now; it saves months of confusion later.

Define where news actually lives. One of the biggest sources of frustration? Authors don't know where to publish. Define three to five approved publishing locations and make them obvious. When people know exactly where to post, content reaches the right audience without friction.

Embrace regular maintenance as a feature, not a chore. Archive old content quarterly. Review your homepage twice a year. Assign clear ownership to major content areas. SharePoint doesn't decay by accident — it decays by neglect.

The real insight? SharePoint best practices aren't about becoming technical. They're about removing friction so your team can focus on what actually matters: keeping people informed.

What's been your biggest SharePoint headache? Curious what the community's dealing with.

From remote work to global collaboration, the way organizations communicate has transformed in just a few years. Modern businesses face the challenge of building communication systems that are as agile as the world around them. They now demand much more from their communication platforms.

This desire to scale at their own pace and communicate in a unified way is driving organizations away from legacy phone systems, which are unable to keep up with the new demands. For many, a system built on SIP (Session Initiation Protocol) trunking is now the answer.

This blog is your key to understanding SIP trunks, what the benefits of SIP trunking are, and how you can pick the right provider for your own project.

Why SIP trunking?

SIP trunking stops businesses from being tied down by traditional phone lines. It connects their Private Branch Exchange (PBX), which handles traditional telephony, to a SIP provider.

The SIP provider uses SIP – a signaling standard that sets up and manages communication sessions on virtual ‘trunks’ via the internet – to provide a secure, efficient, and scalable way to manage communication needs.

How does SIP trunking work?

In SIP trunking, SIP is used to make sure devices can connect, manage, and end communication sessions seamlessly.

While SIP manages the call, it integrates with other protocols like Real-Time Transport Protocol to carry voice and video data, and Session Description Protocol to define settings like encryption.

What does a SIP trunking call flow look like?

When a SIP call is placed over a SIP trunk, the PBX forwards a request to the SIP provider, which then authenticates it and links the call to its recipient via the internet.

Features like caller ID, call forwarding, and failover are available if lines are busy when the call is routed to its endpoint by the SIP provider. These features, alongside consolidated lines and automated routing, make SIP trunking highly efficient.

SIP trunking vs traditional phone lines: What are the benefits?

While traditional phone lines have long been the standard, SIP trunking offers a more modern approach – delivering cost savings, flexibility, and advanced features that can better support today’s businesses.

SIP trunking saves costs

Lower traditional phone line fees: With calls handled over the internet, businesses no longer need to rely on costly copper phone lines and their associated rental and maintenance fees.

Reduced costs for long-distance calls: For businesses making international calls, having their communications handled over the internet can reduce the need for the expensive connection fees associated with traditional phone lines.

SIP trunking is scalable

Instant capacity changes: As SIP trunks are virtual, they can be seamlessly scaled up and down to fit with changing business needs, rather than requiring physical alterations as in a traditional setup.

Technical ease: Changes to capacity can typically be handled in-house, rather than waiting for third-party engineers or on-site work.

SIP trunking is flexible

Hybrid work support: With SIP trunking, calls run over the internet, so employees aren’t tied to the office phone system. This provides more flexibility than a traditional phone line-based setup.

Vast device choice: Unlike legacy phone lines, SIP trunking provides device choice, meaning teams can choose between softphones, laptops, mobile apps, and more to manage calls – not just traditional desk phones.

Location freedom: Businesses don’t need to tie their phone numbers to a specific physical line with SIP trunking. This means they can move offices, regions, or even countries without losing their existing numbers.

SIP trunking unlocks enhanced features

Advanced call routing: SIP trunking unlocks advanced call management systems seamlessly – like department call routing, multiple device ringing, call forwarding to mobile devices, and time-based rules – all of which are delivered with greater flexibility than with traditional phone systems.

Integration with Unified Communications (UC) tools: SIP trunks can integrate with UC tools, letting businesses manage all their communication channels through a single platform.

Now you’ve learned what it is and how it works, let’s explore how you can bring SIP trunking to your organization, starting with finding the right SIP provider.

How to choose the SIP trunking provider that’s right for you

There’s a lot to consider when choosing a SIP provider. We recommend you evaluate them on how they deliver high-quality and reliable networking, and suitable geographic coverage. Seamless integration, hands-on support, and clear adherence to SLA requirements are also must-haves, as is a solution that can be flexibly deployed to suit the needs of your business.

How to transition to SIP trunking

When you’ve decided on your provider, you’re ready to begin implementation. While all deployments will be unique, here are the three stages that are typically required.

Stage one: Planning

First, outline your requirements by considering metrics like the number of concurrent calls you need, geographic coverage, platform integrations, and redundancy requirements. Then, evaluate your current systems, noting what can be kept in place and what will have to be upgraded. Once you know where you’re heading, you can plan a step-by-step roadmap, including timelines and budgets.

Stage two: Technical requirement checks

SIP trunking requires reliable bandwidth to meet your call volume and data transfer needs, so consider whether your current internet connection can handle both. Bear in mind, it must have a properly configured network infrastructure – including routers, firewalls, and SBCs (Session Border Controllers) – so you’ll need to keep hardware and firmware up to date to ensure compatibility.

Reliable calls are essential to modern business, so to ensure there are no dropouts in your service, set up QoS policies that prioritize voice traffic over data – even during periods of heavy network usage.

Stage three: Implementation

Set up your SIP trunks on your PBX or UC platform and configure your credentials in line with the requirements of your SIP platform provider. Once in place, run pilot tests on your SIP trunk for internal and external calls and any integrations with UC platforms, making a note of quality, redundancy, and failover. A phased approach or limited deployment can help reduce the risk of unexpected issues occurring and ensure that they are dealt with before you begin wider adoption.

This may all seem like a lot to consider, but with a dedicated partner handling your SIP trunking project, these things will be taken care of for you.

Got a question? You're in the right place. Whether you’re after practical advice, technical tips, or peer experiences, the Advania Community is full of members who can help.

Follow the below tips to make your question easy to answer:

1. Be clear in your title 🤔
A strong and specific title will help the right people find your question - don't overcomplicate it and ask your question directly. Try something like:
“Best practices for Teams governance in hybrid workplaces?” instead of “Need help please!”

2. Provide background information 📂
Give a quick explanation of what you’re trying to do, what tools or systems are involved, and what you’ve already tried. That way you're more likely to get answers rather than back-and-forth asking for more information.

3. Ask your question directly 🎯
Make it easy to spot and formulate it like you would normally ask a peer for advice. For example:
“What’s the best way to handle guest user access in SharePoint Online?”

4. Include any helpful details 👩‍💻
Version numbers, screenshots (if no confidential information is displayed), or error messages can be useful for technical questions. Don’t worry about being too detailed, more is better than not enough!

5. Say thanks and select a best answer ✅
It’s a small thing, but a warm tone makes a big difference and you’ll often get faster replies, too. Once you've received a satisfactory answer, don't forget to mark it as an accepted answer, so that other members can benefit too :)

To do so, click on "Yes" on the below phrase displaying under every reply in your question:

Looking to spark a conversation, share insights, or get other members' thoughts on a hot topic? Starting an open-ended discussion is a great way to learn, connect, and collaborate with others across the Advania Community.

Here are some tips to make your discussion stand out:

1. Start with a strong title 💪
Make it clear and inviting! Instead of “Thoughts?”, try “How are others approaching sustainability in their IT strategy?”

2. Add some context to your post 💬
Why are you posting? What inspired the topic? A bit of background will help others understand where you’re coming from and encourages them to join in.

3. Keep it engaging ⚡️
Use short paragraphs, questions, or bullet points to make your post easy to read. You don’t need to write a novel or expand just for the sake of it, but make sure you have the key information for others to jump in and get the conversation going.

4. Invite others to participate 🤗
End with a question or prompt - this will help direct the conversation:
“Curious how others are approaching this, what has worked for you?”
“Is this something your team’s thinking about too?”

5. Post in the right place & tag your post 🏷️
Choose the most relevant category to make sure your discussion reaches the right audience. Can't find one that fits? Post it in the category that is closely related to your topic and tag your discussion accordingly. This will help others find your discussion.

Let’s get talking! Don't be hesitant to share what's on your mind - it doesn't have to be a big topic, even the most simple ideas or thoughts can spark great conversations and help other peers!
